Claims Update
 

With the Public Health Emergency (PHE) ending, the Michigan Department of Health and Human Services (MDHHS) has identified new guidance on telemedicine practices, and how these services need to be reported.

 

The following changes to claims data entry are as follows:

 

  1. The GT modifier will no longer be accepted for telemedicine services taking place on or after 5/13/23.
  2. The COVID note will no longer be needed to submit telemedicine service claims taking place on or after 5/13/23.
  3. Place of Service (POS) 2 or 10 will now be used to report a client’s location during the telemedicine services taking place on or after 5/13/23.
    1. POS 2: client NOT at home- participating in telemedicine services anywhere outside of the home.
    2. POS 10: client at home- participating in telemedicine services.
    3. Modifier 93: will need to be reported on claims where services were provided by Audio Only. This will only be allowed for services that are set as “Audio Only Allowed”, and that are not a telephone-only service. Providers must also use POS 2 or 10 for these claims.

CRCT Update 

PCE will be performing upgrades and maintenance over the winter holidays. To facilitate this maintenance, we are scheduling two service outages:

  • Saturday, December 24, 2022 (Christmas Eve) from 9:00 AM to 10:00 AM (60 minutes)
  • Sunday, December 25, 2022 (Christmas Day) from 4:00 PM to 5:00 PM (60 minutes)

 All systems will be unavailable during these outage windows.

These planned outages are necessary to upgrade hardware and software on crucial infrastructure components and to perform a stress test of the disaster recovery site.

Medication Administration Training Update

WCCMH would like to remind all providers and staff that it’s all our responsibility to ensure that there are no medication errors.

To ensure the most optimal care coordination is happening, please bring the MARs to the appointments with psychiatry at WCCMH. This will serve as a verification that the list is current and that WCCMH has the most up-to-date information on any medications being prescribed outside of WCCMH. If the consumer approves, please have provider staff sit in the medication review to ensure accurate information is being provided and any concerns, issues, and problems are discussed so they can be resolved.  Consumers/Providers will be given an updated, accurate medication list following the appointment. This should be used to verify MARs are correctly transcribed.

Holiday Payment Schedule

Payments made via paper checks will not be processed on Friday, November 25, 2022. Those that are paid via EFT will still receive payment on November 25, 2022. Payments made via paper checks will resume the following week, Friday, December 2, 2022.

Medication Training Provider Test Schedule Update

Starting in October, there will be a change to the medication provider test schedule. The testing classes will now include one evening, Thursdays, 5:00 pm-7:00 pm per month. Please continue to follow the process of registering staff through Lindsay Gibson ([email protected]) or Brandie Hagaman ([email protected]). They will send an email with a link to the first online testing part and information on the second testing part, which will be held at the LRC. Please encourage staff to review the self-directed powerpoint that is on the CMHPSM website at  Training Resources | cmhpsm before the test.

Medication Administration Training Update

The new WCCMH Provider Medication Training Process goes into effect on January 1, 2022.

Below are some highlights of the new medication training process: 

  1. The new staff training is done independently from the CMHPSM website using the Med training independent PowerPoint.  This means there is no “class” for staff to attend. They must review this on their own prior to taking the tests. This PowerPoint MUST be reviewed by new staff and is also available to those staff taking the refresher. 
  2. If staff have questions they can bring their question to the testing date and arrive 30 min early (from start time) to have their questions answered by WCCMH nursing staff.  Once testing starts there will be no more questions. 
  3. Staff is still required to register for the medication trainings (new staff and refreshers) in order to receive the Link to Part 1 of testing and to register for Part 2 (in-person testing). 
  4. There are timelines in the process document for registering and signing up for the in-person testing dates.  The testing dates and registration cut-off dates are below that cover January -March 2022. 
  5. Staff must take Part 1 of the testing (online link) prior to the in-person testing.

Medication Administration Training Update!!!

The in-person testing location has been updated to the Washtenaw County Learning Resource Center (LRC): 4135 Washtenaw Ave, Ann Arbor, MI 48108 effective this week. Please make sure that staff is aware of this change. For those registered this week a communication will be sent out.

Please remember that after the zoom class/refresher dates staff must complete the online test portion prior to coming to the LRC for testing.

Medication Administration Training Update

The new Medication Administration Training process will start on November 1, 2021.

  • New staff medication training: There will be two dates per month (1st Monday of the month from 9 am-11 am and 3rd Wednesday of the month from 1 pm-3 pm) for new staff Zoom classes. Testing will be in person. 
  • Refreshers will not have Zoom links or material reviews. Providers can send names of staff, email addresses, and provider names on the 1st and 3rd Tuesdays of the month, and testing will be in-person.

COVID-19 Vaccination 

Washtenaw County Health Department (WCHD) will have a walk-in clinic Tuesday through Friday from 9:00 am-11:30 am and 1:00 pm-3:30 pm at 555 Towner, Ypsilanti, MI 48198.

*Please ensure that you have some kind of ID, whether it is a medical card, a piece of mail with their name on it, a medical bottle with their name on it, etc. The WCHD  cannot have anyone “vouch” that someone is who they say they are. If there is a situation where a consumer does not have an ID, WCCMH staff can print off a letter from CMH with the person’s name and DOB on it.

Medication Administration Training Update: 

  1. All Refreshers that have expired need to be updated before January 31, 2021.
  2. ONLY the links for the zoom class (for new staff) and the class marker links will be sent in an email. The materials needed before the class and the remaining testing material are available online for the Provider designated medication coordinator to obtain and give to staff.

The CLS Request Module in CRCT is now live. This module is for when you need to request the following that will impact CLS services (Fiscal Intermediary please disregard):

 Prior notification of an event is required as soon as possible or at least 72 hours prior to the event

  • Preplanned Day Program Closures
  • Doctor’s Appointments
  • Vacations/Camps
  • School closures for regularly scheduled Holidays (I/DD & MI only)
  • Temporary change in care needs

 24-hour notice is requested after emergencies

  • Unexpected School/Day Program Closures or Discharges
  • Hospitalizations

We do ask that you start using this module in CRCT, effective November 16, 2020. These CLS requests must be submitted in CRCT and within the timeframes given above. If these requests are not submitted within CRCT and within the appropriate timeframes, they will be denied payment.

Emergency Preparedness Training

  • Required for everyone except staff providing services in a Licensed Residential setting (already required as part of the Licensed Residential Training Bundle)
  • Required within 30 days of hire and every 2 years thereafter

Standards for Community Living Supports (CLS) Services Training

  • Required for staff providing CLS services in both unlicensed and licensed settings
  • Required prior to service delivery and every 2 years thereafter

Recipient Rights Training Update: 

  • Washtenaw CMH will be canceling all in-person RR trainings for staff until at least 6/1/20, at which time this will be reassessed.
  • In the meantime, new staff will still be expected to complete/sign the “Day One” rights training within 30 days of hire (per usual).
  • If, until the meeting rooms are reopened, staff are due (per contract requirements) to attend their in-person 90-day training, we will be allowing a temporary exception for them to utilize our region’s online training in lieu of the in-person training.
  • Once the community risk has subsided, we will reschedule the in-person trainings. At that time, we will require all new staff whose 90-day requirement was met via the online training, to attend an in-person training. As such, we will temporarily increase the number of trainings available to staff to accommodate the increased need.
  • Until the meeting rooms reopen, for all staff who are due for rights refresher training, we ask they meet this requirement via our online training. No further follow-up is required, as online refreshers are now allowable in our region.
  • This exception is TEMPORARY and will be discontinued as soon as safe to do so.

Recipient Rights Training Update

In light of the current COVID-19 (Coronavirus) pandemic, Washtenaw County administration has canceled the use of all county meeting rooms until at least 4/7/20. This means that at Washtenaw CMH, we will be canceling all in-person RR trainings until at least that time.

During this time, in lieu of the in-person training that new staff is required to attend within 90 days of hire, we will be allowing staff to utilize our online rights retraining. Additionally, we will be asking that ALL staff who are due for a rights retraining to utilize the online training instead of the in-person training. 

In summary: 

  • Continue the usual Day One training within 30 days of hire.
  • All ORR Refreshers must be taken on time and taken online.
  • If staff are due for their in-person 90-day training, we are allowing a temporary exception for them to use our region’s online training in lieu of the in-person training.

Medication Administration Refresher Class Update

Due to the County direction, we received yesterday about meetings and meeting space, and as a means to take precautionary measures, we are canceling the Medication Refresher classes on March 18th and 25th .

WCCMH will allow an extension on staff’s current certificate to get through the next few weeks. Our hope is to resume April classes as usual. Due to the current uncertainty of how long additional precautions must be implemented, we will assess what the needs will be before we approach April.

Requesting Assistance

As you know, we all serve people who are considered vulnerable and/or at risk. Washtenaw County and the provider network provide vital support to these individuals, many of whom have no one else to turn to. WCCMH staff will continue to provide critical services to consumers while utilizing published precautions.

How Can You Help?

WCCMH anticipates that the agency, support staff, and individuals served may be affected by the virus. Additionally, Washtenaw County is discouraging groups of 10 or more at this time. We also recognize that all of your agencies are experiencing the same concerns and challenges. Given this, in order to keep folks safe, we highly encourage families to take their loved ones home for the weeks that schools are closed (through April 6), if they are able to do so. This will hopefully help alleviate the spread of the COVID-19.

Although the County is asking for groups of 10 or more to not meet, we will continue to have vocational programming for a subset of individuals. We are asking that the following individuals refrain from coming to programming during this time: those living in specialized residential/licensed settings, those in family homes that have support during the day, those that are able to go home during this timeframe, and those that are sick or that have housemates that are sick.

We ask that you, in conjunction with our Clinical Teams, contact families and ask them if they can take their loved ones home for the next few weeks. Not only will this help reduce the spread of this virus but may help condense/combine staffing at the sites (since we anticipate all-around staffing challenges).
